EpiVets Australia is an independent ethics committee that is designed to oversee research applications involving cattle, sheep, goats, alpacas, llamas, pigs, horses, and companion animals.

We set this up as we wanted to create a process that still adhered to high ethical standards but had a committee that could meet more regularly to meet the needs of research speed and could also operate over multiple states.

Our People

In Australia, the composition of Animal Ethics Committees (AECs) is governed by the National Health and Medical Research Council’s (NHMRC) Australian Code for the Care and Use of Animals for Scientific Purposes (8th edition, 2013) (“The Code”), and is enforced under relevant state and territory animal welfare legislation (e.g. Prevention of Cruelty to Animals Acts and regulations).

According to the Code (Section 2.2.2), every AEC must have at least four members, each from the following distinct categories:

BA scientist or teacher with substantial and recent experience in animal-based research or teaching (e.g. holding a higher research degree or equivalent)
CA person committed to and with experience in advancing animal welfare; must be external (not employed by or associated with the institution) and not involved in animal use
DA lay person not previously involved in the use of animals for scientific purposes beyond undergraduate education; completely independent of the institution, providing a community perspective

Minimum Membership: 4 persons, each fulfilling a different category.

Our AEC is made up of eight members within the appropriate statutory categories as detailed below. The double up of category positions allows for flexibility and agility for holding meetings.

Terms of Reference

Our AEC operates under clearly defined Terms of Reference, outlining our functions: reviewing protocols, monitoring facilities, addressing non-compliance, and approving care guidelines.

Our AEC members undergo mandatory training, per state/territory regulations (e.g. NSW POCTA Regulations 2019) to ensure awareness of Code obligations and processes.

What if you need ethics approval?

At EpiVets Australia, you are a valued customer and will be treated as such. Wherever we can help you navigate the ethics process, we will. What does this mean?
  • We have gone a bit “old school” and are using Word documents. The reason for this is it’s more intuitive for most and suggested changes are written on the document itself for easier review.
  • You will be communicating with a person, our secretary. She is here to help you in this process, and when you have little changes to make, she will happily pop in and make those changes for you, as we realise you are busy enough!
  • You will have access to ALL EpiVets SOPs. You can choose to use these or use your own.
  • You can keep track of your training for SOPs, or EpiVets staff are happy to come out and train you as a separate service offering. You are welcome to utilise EpiVets training documentation that they use to keep track of their own staff training, or you can keep your own. As long as you have evidence, that is all we need.
  • We need to know the staff that are involved in the study and evidence (via the training records) that they are suitable, but do not need all of them to sign the form. This will just be signed by the applicant.
  • We will keep track of all your animal usage statistics for you. So, when it is time to submit them, they will be all ready for you.
  • It’s hard to remember when all the reports are due! We will send you friendly reminders just in case you forget as well as create an easy spreadsheet with every task and when it is due in your client folder.
  • We will peer review your applications before they are submitted to the committee to make sure the process with the committee is as efficient as possible.

Our Process (Overview)

The process for EpiVets Australia follows the same steps as the Tika Ethics process (see the New Zealand committee), but without the ‘parenting’ company requirement.

  1. Meet with our ethics chair to discuss your project and requirements.
  2. Sign agreements and NDAs as required.
  3. Submit your draft application to our commitee.
  4. Come to our ethics meeting to present your study and answer questions.
  5. Receive a decision and next steps via email.
  6. Approved projects can only begin after formal written approval has been received.

We also provide reminders, reports, and tracking tools to help you stay on top of all compliance obligations.
